Roofr A–Z: Platform Terms Explained

A plain-language guide to terms you'll come across in the Roofr platform.

Account Manager
Your Account Manager helps you get more from Roofr and grow your business. Give them a call when you’re ready to explore additional products, expand your plan, or find the right next step for your team.


Account Setup Team

Getting your Roofr account set up right is a team effort. Our Account Setup team works with you to build out your catalog, proposal templates, instant estimator, and other tools, using the details you share with us to make sure everything fits your workflow. And when your business changes or you need to add something new, they're here to help you adjust and grow.


Add-Ons
AKA Upgrades. Optional line items in a proposal that let the homeowner select premium products or extra services, like ice and water shield or gutter installation. Using these and "Good, Better, Best" pricing options are a great way to inform and upsell homeowners while giving them full control of their own budget decisions.


Assignee
AKA Assigned Rep. The team member responsible for a job. Automations can be set to notify the rep when job activity happens.


Automations
A set of rules in Roofr that automatically triggers an action when a defined condition is met. Automation examples include Proposal Viewed Notifications, Job Status Changes, Follow-Up Text Messages, and many, many, many more. You can define your own, or pick and choose from Roofr's library of presets.


Blocking Rule
A setting on a stage checklist that stops a job card from advancing to the next stage until all required tasks are checked off. It's a good option to set to make sure every team member does their due diligence.


Catalog
Your internal product and service database. It lists all the material line items and services you may offer, with pricing and product details. Items can be added manually, bulk uploaded via CSV file, or automatically pulled in from suppliers and other sources. Very important to set up properly.


Close Date
The date a proposal was officially signed, turning the lead into a paid job.


Close Rate
The percentage of your jobs that convert from lead to signed proposal. A good metric to help measure the success of your business and your team.


Cover Photo
A branded image at the top of a proposal. It's often a photo of the customer's home. Makes the proposal feel more personalized and professional.


CRM (Customer Relationship Management)
A software that allows roofers to manage their jobs, leads, customers, communications, timelines, and pipelines in one place. Helps with strategy, organization, time management, efficiency, professionalism, and business growth.


CSV File
A text file containing data which can be opened in Google Sheets or Microsoft Excel. If you want to import information, or export specific Roofr data, you can do so anytime. Roofr's policy is that your data is yours. We'll never hold it hostage.


Customer Success Team

Your Customer Success Manager is your ongoing Roofr consultant. They work with you and your team through hands-on training to make sure you're getting the most out of the platform, picking up new features, strengthening the ones you already use, and keeping pace with how your business grows.


DIY Report
A measurement report which any contractor can build themselves by drawing the roof outline directly in Roofr's mapping tool.


Dynamic Fields
Merge tags used in email and text templates, proposals and PDF Signer documents, that automatically fill in job-specific info (like customer name, job address, or date).


ESX File
An Xactimate-compatible file format that can come with any Roofr measurement report as an optional add-on. The ESX file imports directly into Xactimate, meaning you won't need to manually re-sketch the roof measurements.


Event
A scheduled appointment, work date, or milestone tied to a job. Job events appear on the Roofr calendar and can trigger automations or tasks.

Instant Estimator
A versatile tool that you can use on your website, in ads, door knockers, social, or anywhere else. Homeowners get an instant quote from you, and all the details feed right into your Roofr CRM.


Integrations
The third-party tools that connect to Roofr and sync data and information. These include supplier integrations like those with ABC, QXO, and SRS, plus technical integrations with apps like Gmail, Google Calendar, CompanyCam, QuickBooks, and Zapier.


Invoice
The payment request sent to the homeowner from within Roofr. Can be sent by email or text with a payment link.


Job
The core unit of work in Roofr. A job contains the full scope of work on a project with details on customers, pricing, scheduling, and more.


Job Board
A kanban-style view of your active jobs, sorted by pipeline and stage. It's like a digital whiteboard that replaces a physical sticky-note board.


Job Card
A visual tile representing each job as it moves through each stage on the job board. Cards show quick basic details so you can find a specific job fast.


Job Costing
Tracks the actual costs of a job against the estimated costs, giving a real-time view of profitability per job. Includes labor, materials, and other expenses.


Job Stage
The current phase of an active project within Roofr, identifying where a job is in the production pipeline from won business through to completion. Commonly used job stages include New Lead, Proposal Signed, Job Completed, Closed Lost, and many more.


Lead
A potential customer who has expressed interest in roofing services. Leads convert into a job once the customer agrees to the proposed work and gives their signed approval.


Lead Source
Where a lead came from (i.e., word of mouth, Instant Estimator, door knock, referral, Google ad). Tracking lead sources is important to understand marketing ROI and which lead generation strategies work best for your business.


Line Items
Components of a proposal (labor, materials, etc.) that are priced and sold to your customers as unique elements of the work you do. These live in your catalog and can also be added to proposal estimate options, change orders, material orders, work orders, and invoices.


Material Calculations
An optional output on measurement reports. Shows estimated material quantities based on the roof's dimensions and the selected waste factor.


Material Order
Use Roofr to convert measurements and proposals into ready-to-send, accurate material orders. These become even more powerful with supplier integrations.

Measurement Report (Roofr Report)
A Roofr Measurement Report gives you precise aerial measurements of any roof (total area, facets, pitch, ridges, valleys, and more), so you can build accurate quotes for your customers.


Onboarding Team

Our Onboarding team is your guide when you're getting started with Roofr. They'll walk you through the platform with personalized, one-on-one training and help you fit Roofr into your day-to-day workflow so you can start using it with confidence right away.


Payment Schedule
A section in a proposal explaining deposit requirements and milestone payments. Can be configured per job or pulled from a template.


PDF Signer
Lets contractors upload documents, (like scope sheets or contract changes) and add signature fields, date fields, and more. Homeowners can sign digitally right from their phone or device.


Performance Dashboards
Real-time reporting built into Roofr for Scale users. Dashboard reports include Job Performance, Lead Performance, Team Performance, and Lost Jobs.

Pitch
AKA Slope. The measure of a roof's steepness, expressed as the ratio of vertical rise to horizontal run over a 12-inch span, written as x/12.


Proposal
AKA Quote. A professional, branded document sent to a homeowner that outlines the scope of work, materials, pricing, and terms and conditions for a roofing project. It's the primary sales document a contractor uses to win a job.

SMS
Stands for Short Message Service. Just a fancier term for text messaging.


Tag
AKA Job Tag. A label that can help filter, sort, and organize your jobs by certain criteria.


Task
A to-do item assigned to a team member within a job. Can be created manually or triggered by an automation.


Team Roles
Roofr user roles have different access and permissions. Sorted into Managers and Members within an organization.


Template
Pre-built custom templates are available for proposals, and PDF signer. These standardize the presentation with your branding and info. You can save time by reusing or editing templates across jobs.


Trigger
The event that kicks off an automation. Examples include job stage change, proposal sent, proposal viewed, and invoice paid.


'Unspecified' lines
Roofr Report lines with no measurement value, used solely to close off facets so a pitch can be assigned.


Waste Factor
A percentage added on top of the calculated roof area to account for material that is cut, trimmed, or discarded during installation.


Work Order
A document for internal use, outlining the scope of work for a crew. Can be easily generated from any proposal.


Workflow
AKA Pipeline. A workflow track for a type of work, like Retail, Insurance, or Commercial. Scale users can set up multiple custom workflows with their own sets of job stages.
