What is AI Receptionist?
Q: What is AI Receptionist?
AI Receptionist is a phone answering tool built into Roofr that handles your incoming calls when you can't pick up. It has a conversation with the caller, captures the lead info and automatically creates a contact and job record in your Roofr CRM — no manual data entry, no missed opportunities.
Q: How is this different from voicemail?
Voicemail just records a message. AI Receptionist actually talks to your caller — it asks about their project, collects their details, and can provide basic info about your services. By the time you check in, the lead is already in your Roofr Dashboard. Your AI Receptionist can also book and appointment with the caller and provide a quote (if you have Roofr’s Instant Estimator set up).
Q: Will this make my business look unprofessional or sound like robots?
That's a fair concern, and one we take seriously. AI Receptionist is designed to represent your business — it uses your company name, your services, and your chosen tone. It's also built specifically for after-hours and missed calls, so callers who reach it aren't expecting to talk to you personally anyway. Think of it as a professional front desk, not a generic robot.
Q: Will my phone number change?
Nope! Your existing business number stays exactly as it is. AI Receptionist gets its own dedicated number, and your current number simply forwards to it when you choose, or when you're unavailable. Every truck wrap, yard sign, and Google listing stays the same.
Q: Does AI Receptionist replace my office manager or front desk?
Nope! It's a backstop, not a replacement. It handles missed calls and after-hours inquiries so nothing falls through the cracks when your team is busy, on a job, or offline. If you have someone who answers calls, they still will. AI Receptionist just covers the gaps.
Q: How much does AI Receptionist cost?
New signups get their first 30 days free. After that, it's $99/month, billed automatically. You'll get a heads-up before any charge hits, and you can cancel any time.
Q: Is there a limit on how many minutes I get each month?
Your $99/month plan includes 200 minutes of AI Receptionist calls. Most customers stay well under that. If you go over, your AI Receptionist keeps working exactly as before, there's no cutoff and no interruption in service. You'll see your usage in your dashboard so you always know where you stand. While AI Receptionist is in beta, we're not charging for overages
How to Set Up Your AI Receptionist
Q: How do I get started?
Click the AI Receptionist section in your Roofr Dashboard. We’ll walk you through a guided setup that should take you less than 10 minutes to complete. The setup guides you through entering your business details, services, and preferences — then provides your AI Receptionist number within a few hours. See how it works HERE.
Q: What is call forwarding and do I need to do it myself?
Call forwarding is the step that connects your existing business phone number to your AI Receptionist. It's the one setup step that happens outside the Roofr app. You'll need to update a setting with your phone carrier (your cell provider or VOIP). Your carrier will provide instructions for how to set up call forwarding. You don't need new equipment or a new phone.

Q: Will I miss calls while I'm setting up forwarding?
Nope! Nothing changes on your existing line until you actively complete the call forwarding step. You're in control of when the switch happens, so there's no gap in coverage on your end.
Q: How do I know if call forwarding actually worked?
The easiest way is to call your own business number from a different phone. If your AI Receptionist answers, you're live. If it rings through to you like normal, forwarding isn't active yet.
Q: I didn’t get a number immediately — is something broken?
Nope, that's normal. After you complete the set-up wizard, your AI Receptionist number can take up to a few hours to get sent to you. You'll get a notification as soon as it's ready. If you're still waiting after 24 hours, reach out to [email protected].
Q: I made a mistake in the setup wizard — can I change it?
Absolutely. You can update your business details, services, greeting, and other settings any time from the AI Receptionist Settings tab in your account. You don't have to start over.
How to Manage Your AI Receptionist
Q: Where do my leads go after a call?
Every call that qualifies a lead automatically creates a contact and job record in your Roofr CRM — no action needed on your end. You can see all your calls, recordings, and transcripts in the AI Receptionist section of your Roofr Dashboard.
Q: Does AI Receptionist work after hours and on weekends?
Yes, 24/7 - if you’ve set it up that way. Learn about how to set up call forwarding HERE. That's one of the core reasons it exists; to capture leads when you're on a job, off the clock, or just can't pick up. There's nothing to switch on or schedule; it’s always ready.
Q: What if a caller wants to speak to a real person?
AI Receptionist has a call transfer setting. When a caller asks to speak with someone directly, it can immediately route them to a phone number you specify. Whether that's you, your office manager, or anyone else on your team. You set this number in your AI Receptionist settings.
Q: Can I listen to my calls and see what was said?
Yes. Every call is logged in your Call History with a transcript and recording. You can review exactly what was said, how the lead was qualified, and what was promised. You're always in the loop before you call someone back.
Q: What if the AI says something wrong on a call?
It is rare, but not impossible. If it happens, we want to know about it. For now, please contact support and share the call details (date, time, caller number) and we'll review it.
Q: What does the "beta" badge mean — is this product finished?
AI Receptionist is fully functional and built for real use. The beta badge just means we're actively collecting feedback and making quality-of-life improvements based on real-world usage. The beta status will continue through 2026, but that's not a sign anything is half-baked. It means we're still listening closely and iterating fast.
